Terms & Conditions
These Terms and Conditions govern the relationship between Explore Afghanistan Tour Agency (hereinafter referred to as “we,” “us,” or “our”) and the client (hereinafter referred to as “you” or “the client”) for all travel arrangements and related services offered by us. By confirming your booking with Explore Afghanistan, you agree to be bound by the following terms and conditions. All booking arrangements in these Terms and Conditions will be referred to as either “booking form,” or “contract”.
1.Booking and Confirmation
To secure your place on a tour, you must complete and submit the official booking form through website or the contract and pay the required advance deposit. Upon receipt of the completed form and advance payment which is 20% of the total tour cost, your booking will be confirmed. The remaining balance is payable upon your arrival in Afghanistan.
2. Payments and Currency
We accept payments primarily through bank transfers. However, due to international restrictions, we recommend using Western Union or MoneyGram for a smoother transaction process. Payment is split into two parts:
- Advance Payment: 20% of the total cost is required to confirm your booking.
- On-Arrival Settlement: The remaining balance is due upon your arrival.
All tour prices are listed in USD unless otherwise stated. Currency fluctuations and local economic changes may occasionally affect pricing; however, we strive to maintain quoted prices. Clients are advised to bring USD or EURO for exchange. All exchange transactions follow the local national exchange rates.
3. Contract
After the booking form is submitted and the advance payment is received, a formal contract will be established between Explore Afghanistan (first party) and the client (second party). This contract will outline all relevant details about your tour package, including the services we provide, the tour itinerary, and logistical arrangements. It will also define the obligations and responsibilities of both parties, confirm the receipt of the advance payment, and include any specific conditions or amendments relevant to your package.
4. Cancellations and Refunds
Cancellations must be made in writing and are subject to the following terms:
- 30 days or more before the tour start date: 100% of the advance payment will be refunded.
- 15 to 29 days before the tour start date: 50% of the advance payment will be refunded.
- Less than 15 days before the tour start date: Advance payment will not be refunded.
In case of a cancellation by us due to unforeseen circumstances (e.g., political instability, natural disaster), we will offer either a full refund or the opportunity to reschedule your tour.
5. Travel Insurance
Travel insurance is strongly recommended for all travelers. Your insurance should cover personal injury, medical expenses, repatriation, loss of property, and tour cancellation due to unforeseen circumstances. We are not liable for any personal losses incurred during the trip.
6. Health & Safety
If you have any existing medical conditions or require specific medications, please inform us in advance and carry sufficient supplies for the duration of the trip. We recommend that clients consult a doctor for recommended vaccinations and health advice prior to travel.
7. Changes to Itinerary
While we strive to operate tours as planned, unforeseen circumstances such as weather conditions, security risks, or government regulations may require changes to the itinerary. We reserve the right to make necessary adjustments in the interest of client safety and tour quality.
8. Use of Images and Data
Upon your consent, we may use photographs taken during the tour for promotional purposes, including social media and our website. A separate Photo Permission Form is provided to you. Additionally, we collect limited personal data (such as emergency contact information and booking details) solely for operational and safety purposes. Your data will not be shared or used for any other purposes, in accordance with our Privacy Policy.
9. Liability
We shall not be held liable for delays, changes, or cancellation of tours due to force majeure, including natural disasters, political unrest, or other unforeseen circumstances beyond our control. We also disclaim liability for any loss, injury, or damage sustained during the tour unless caused by our proven negligence.
10. Code of Conduct
Clients are expected to respect local laws, cultural customs, and the instructions of the guide. Disrespectful behavior or conduct that endangers the safety of the group may result in removal from the tour at your own expense.
